Context
The Project Management Office of this large enterprise needed a single system to govern its project portfolio and track project hours across the organization. I helped build a two-part Project Management System that became the PMO's daily operating tool.
Problem
Project information lived in scattered documents: no single source of truth for active and completed projects, no shared masterplan, and project leads had to be chased manually for updates. Hours reporting was hard to collect, validate, and consolidate for management control.
Objective
A centralized portfolio where the PMO governs the data and publishes it read-only to the organization; project leads update their own project cards with changes flowing automatically to the central table; a multi-level Gantt masterplan with tags and drill-downs; and an hours-reporting system with per-user visibility, validation rules, data freezing, and monthly/annual reports.
Approach
The work ran in two streams. The first one delivered the centralized system with PMO-only editing, self-serve project cards, a tag system with dedicated views, the Gantt masterplan, and more. Stream 2 added resource assignment, per-user hour entry with daily and monthly validation limits, lifecycle management of activities, exportable reports, and team reminders. All carefully designed to be permissions-aware and scalable.
Outcome
The system was adopted at large scale across the PMO and IT teams, becoming the shared source of truth for portfolio governance and hours reporting. Most importantly, this was a significant innovation in internal tools, placing the team in “the future”.
